This Privacy Policy explains how Quickaction ("we," "us," or "our") collects, uses, and protects personal information when you use our website, applications, and related services ("Services").
By using Quickaction, you agree to this Privacy Policy.
1. Information We Collect
Information you provide to us:
- Name, email, phone number
- Business information you choose to add
- Account login details (encrypted)
- Files, forms, notes, and content you upload
- Messages you send to our support team
Information customers store about their clients:
- Client contact details
- Scheduling and appointment information
- Notes, forms, and uploaded files
- Payment and invoice records
We process this information only so the customer can use Quickaction.
Information collected automatically:
- IP address, browser type, device information
- Pages viewed and features used
- Error logs and performance data
- Approximate location based on IP address
Information from integrations:
If you connect third-party tools, we may receive:
- Calendar availability
- Payment status
- Identifiers
- Authorized contact information
- Gmail messages and message metadata for authorized email support
2. How We Use Information
We use information to:
- Provide and operate Quickaction
- Manage account access and authentication
- Support scheduling, forms, projects, and other features
- Process subscription payments
- Offer customer support
- Improve features, performance, and the overall experience
- Personalize parts of the platform
- Maintain security and prevent misuse
- Comply with legal requirements
Automated suggestions may be used to help improve workflows inside the platform.
3. Cookies
Quickaction uses cookies for login, preferences, analytics, and security. Disabling cookies may affect functionality.
4. How We Share Information
We do not sell personal information.
We may share data with:
- Service providers (hosting, analytics, payments, security, support tools)
- Integrations you choose to connect
- Team members you invite to your workspace
- Authorities when required by law
- Successor entities if Quickaction is transferred or acquired
5. Data Retention
We retain information as long as needed to provide the Services, comply with legal obligations, prevent fraud or misuse, and resolve disputes. Aggregated or anonymized data may be kept indefinitely.

You may request:
- Access to your information
- Correction of inaccurate information
- Deletion
- Restrictions on processing
- A copy of your data

If you are a client of a Quickaction customer, contact that customer directly.
Google Integrations and Data Use
Google Calendar and Google Meet connect only after you affirmatively authorize the requested permissions through Google OAuth. You can revoke Quickaction's access from your Google Account settings.
For Google Meet, Quickaction accesses meeting-space metadata and joining information. When an authorized user provides a meeting link and starts the feature, Quickaction can capture real-time meeting audio and video. Google Meet displays an in-call notice to participants while media is collected.
Quickaction uses Google Meet data only to provide the meeting features the user requests, including notes, summaries, decisions, action items, and follow-up tasks. Meeting media and resulting outputs are retained only as needed to provide the Services, subject to Section 5 above.
Quickaction does not use Google Workspace API data to develop, improve, or train generalized or non-personalized artificial intelligence or machine learning models.
Quickaction does not sell Google user data or use it for advertising. Data is shared only with service providers needed to deliver and secure the user-requested features, as described in this Privacy Policy.
Quickaction's use of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.
For private customer-support services, Quickaction uses a self-hosted Chatwoot installation. When an authorized customer connects a Gmail account, Chatwoot uses Google OAuth with thehttps://mail.google.com/ scope, IMAP to receive messages, and SMTP to send replies. The connection is used to manage that customer's support inbox.
Gmail data is used only to provide this requested support service. We do not sell it, use it for advertising, or use it to develop, improve, or train generalized or non-personalized artificial intelligence or machine learning models. The permanent-delete capability is not used. Data is retained only as needed to provide the Services, meet legal obligations, prevent misuse, or resolve disputes, as described in Section 5.

7. Security
We use reasonable safeguards such as encryption, monitoring, and access controls. No system is completely secure, and users are responsible for protecting their login credentials.
8. International Use
Your information may be stored or processed in countries where our service providers operate.
9. Children
Quickaction is not intended for individuals under 16.
10. Third-Party Links
Links to external websites or tools follow their own privacy practices.
11. Changes
We may update this Privacy Policy. The updated version will show a new effective date.
